Introduction – how we use your information
IED websites contain hyperlinks to websites owned and operated by third parties and these websites will have their own privacy notices and IED encourage users to review them. IED does not accept any responsibility or liability for the practices of such third party websites and users should read carefully their privacy statements. IED understands that some communications may be relevant to users and others are not and some unsolicited communications are unwelcome, so it is fully committed to ensuring that the rights and obligations set out in the Data Protection Act 1998 and Privacy and Electronic Communications Regulations 2003, as amended 2011 and the General Data Protection Regulation 2018, are respected.
Personal information collected
IED will ask for limited personal information when users register to receive a service from a IED website, such as a newsletter or take part in a competition or survey, apply for membership or registration or book a place at an event. IED will also collect personal information from users when they register for one of its publications or when users communicate over the telephone or via written correspondence. This can include information such as name, job title, postal address, telephone or mobile number, fax number, email address. The information collected will vary depending on the source, but only by supplying this data, is IED able to provide users with the services requested, under the ‘legitimate interests’ basis of GDPR.
How the information is used
The personal information may be used for a number of purposes including the following:
Retention of information
Data collected via the website or other source will be retained for the duration of the service to be provided as a result of submission of the data.For example, data collected to register for an event may be destroyed upon completion of that event, but data collected to enable assessment for membership will be retained for the duration of that membership and up to seven years thereafter.
Who will see the information
Data sent to the IED will only be shared with staff and trained volunteers who will have to access the data to be able to provide the service requested.All staff and volunteers have been made aware of data protection regulations and obligations.
No data will be shared with third parties, except to provide services specifically required.Notice of election of members and registrants will appear in the IED journal Engineering Designer.
User rights and access to information
Under the Data Protection Act 1998 and the General Data Protection Regulation 2018, users have the right to request a copy of the personal information held about them. This right of access can be exercised in accordance with the Act and/or Regulation.If any of the personal information held by IED is incorrect, then please get in touch using the contact details below and it will updated as soon as practically possible. Members can also update their information via their log-in at the Members area of the website.
Users also have the right to request a copy of the data held, to have that data moved elsewhere and to ‘erasure’ – to request that records of them be removed from all databases within the Institution.Please use the contact details below should you wish to request any of these services
